1. Introduction

These Terms and Conditions govern your use of the Deedly website (www.deedly.co.uk) and your purchase of deed poll services from Deedly ("we," "us," or "our").


By placing an order with Deedly, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions, together with our Privacy Policy.


In the event that you do not agree to these Terms and Conditions or our Privacy Policy, you must not place an order with Deedly or use this website.

2. Our Service

2.1. What we provide

We prepare customised deed poll documents for individuals wishing to change their name in the United Kingdom. Each deed poll is prepared specifically according to the information provided in your application.


2.2. What we do not provide

We do not provide:

  • Legal advice in relation to your name change
  • Deed poll enrolment services (public record registration)
  • Services for name changes outside of the United Kingdom
  • Certified copies of your deed poll
  • Assistance with updating records at government departments or other organisations


2.3. Prices

Our current prices are displayed on our website. All prices are stated in pounds sterling (£ GBP) and include VAT where applicable.


Additional copies:

  • 1 additional copy: £5
  • 2 additional copies: £7
  • 4 additional copies: £10
  • 6 additional copies: £12
  • 8 additional copies: £14


2.4. Payment

Payment must be made in full prior to commencement of processing your order.


We accept payment by credit card or debit card only. Payment is processed securely through our payment provider, Stripe.



Payment is deemed complete when we receive authorisation from your card provider.

3. Processing and Delivery

3.1. Processing timeframes

We commence processing your application immediately upon receipt of your completed order and confirmed payment.

Upon commencement of processing, we will dispatch an email confirmation to you.


3.2. Delivery options

Standard Delivery: 3-5 (three to five) working days from order placement


Express Delivery: 1-3 (one to three) working days from order placement


A "working day" is defined as Monday to Friday, excluding UK bank holidays.


The stated delivery timeframes include both processing and postal delivery.


3.3. Delivery method

All deed polls are delivered by Royal Mail to addresses within the United Kingdom.


Deed polls are dispatched in board-backed envelopes for protection. For reasons of privacy, the envelope does not indicate its contents from the outside.


We are unable to deliver to PO Box addresses or addresses outside the United Kingdom.


3.4. Lost or delayed orders

In the event that your deed poll does not arrive within the expected delivery timeframe, we will issue a replacement free of charge.


A minimum period of 10 (ten) working days from the date your order was placed must elapse before a replacement may be issued.


We will issue only one replacement per order. This constitutes the full extent of our liability for postal delays or loss.

4. Guarantee of Acceptance

4.1. What we guarantee

A deed poll prepared by Deedly, when correctly executed (signed and witnessed in accordance with our instructions), will be accepted as evidence of a name change by:


  • UK government departments (including HM Passport Office and the DVLA)
  • UK public bodies and agencies
  • UK companies and organisations
  • Banks and financial institutions operating in the UK


In the event that your correctly executed deed poll is not accepted by any of the aforementioned organisations, we will provide a full refund, subject to the conditions and exceptions set out in sections 4.2 and 4.3 below.


4.2. Conditions for refund

Prior to issuing a refund under this guarantee, we require:


  1. Written evidence from the refusing organisation stating that the deed poll has not been accepted and specifying the reason for such refusal
  2. The opportunity to contact the refusing organisation directly in order to clarify the legal requirements and attempt to have your deed poll accepted


In our experience, refusals typically occur due to staff being uninformed as to deed poll requirements, and we are ordinarily able to resolve such matters through direct communication with the organisation in question.


4.3. Exceptions to the guarantee

The acceptance guarantee does not apply in the following circumstances:


4.3.1. Foreign nationals

This guarantee does not extend to individuals who are not British nationals, whether resident in the UK or otherwise.


Foreign nationals should verify the requirements of their country of origin prior to ordering a deed poll. We are unable to advise on or guarantee acceptance of deed polls by foreign governments or organisations.


4.3.2. Parental consent not obtained

For child applications, you must obtain written consent from all persons with parental responsibility for the child. In the absence of such consent, your deed poll will not be accepted.


It is your sole responsibility to determine who holds parental responsibility and to obtain the requisite consent. Any information we provide regarding parental responsibility is based upon the details you supply and should not be interpreted as legal advice.


4.3.3. False or inaccurate information

The guarantee does not apply in circumstances where you have provided false or inaccurate information in your application.


4.3.4. Incorrect execution

The guarantee does not apply in the event that your deed poll has been incorrectly signed, dated, or witnessed.


We provide clear instructions on the correct method of executing your deed poll. It is your responsibility to adhere to these instructions.


4.3.5. Technical system limitations

The guarantee does not apply in circumstances where your chosen name is rejected due to an organisation's computer system being unable to process it. This may include names that:


  • Exceed or fall short of the system's character limitations
  • Contain special characters, accents, or symbols
  • Contain numerical digits
  • Consist of a single name only (forename with no surname)


4.3.6. Unacceptable names

The guarantee does not apply in circumstances where an organisation refuses your chosen name on the grounds that they consider it:


  • Unpronounceable or incomprehensible
  • Excessively long in length
  • Vulgar, offensive, or blasphemous in nature
  • Chosen for fraudulent or frivolous purposes
  • A trademarked name used for commercial purposes
  • A presumed title (e.g., Lord, Sir, Princess)
  • Suggestive of honours or qualifications (e.g., OBE, PhD)


The fact that Deedly accepts your chosen name does not constitute a guarantee that all organisations will accept it.


4.3.7. Additional evidence required

Certain organisations require additional documentary evidence prior to accepting a deed poll, such as:


  • An updated passport bearing your new name
  • Medical evidence (in cases involving gender marker changes)
  • Multiple documents demonstrating use of your new name


The guarantee does not apply in circumstances where an organisation requires such additional evidence and your deed poll alone proves insufficient.


4.3.8. Lack of mental capacity

The guarantee does not apply in circumstances where you are detained under the Mental Health Act and medical professionals have determined that you lack the mental capacity to make decisions concerning a change of name.

5. Unacceptable Names

We reserve the right to refuse any deed poll application for a name that:


  • We have reasonable grounds to believe is chosen with fraudulent intent
  • Violates UK law (including names promoting hatred, discrimination, or illegal activity)
  • In the case of child applications, we consider demeaning or contrary to the child's best interests
  • Contains symbols or punctuation marks other than hyphens or apostrophes
  • Exceeds 300 (three hundred) characters in total length (forenames and surname combined, including spaces)


In the event that we refuse your application on any of the above grounds, we will notify you accordingly and provide a full refund.

6. Cancellations and Refunds

6.1. Cancellation policy

By virtue of the fact that we commence processing your application immediately upon receipt, and that each deed poll constitutes a customised document prepared specifically to your specifications, you are not entitled to cancel your order or obtain a refund.


Under Regulation 28(1)(b) of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, customised goods made to a consumer's specifications are exempt from the right of cancellation under those Regulations.


This provision does not affect your right to a refund under the terms of our acceptance guarantee as set out in Section 4.


6.2. Refund procedure

Where a refund is due under the terms of these Terms and Conditions, it will be processed to the original payment card within 30 (thirty) days of the refund being approved.

7. Corrections and Replacements

7.1. Errors attributable to us

In the event that we make an error on your deed poll due to our own mistake (and not due to incorrect information provided by you), we will, at our discretion:


  • Provide a replacement deed poll free of charge, or
  • Issue a full refund


Any such replacement will be prepared and dispatched promptly at no additional cost to you.


7.2. Errors attributable to the customer

In the event that an error appears on your deed poll as a result of incorrect information provided by you in your application, you must submit a new application and pay the full price.


We do not offer refunds, credits, or discounted replacements for errors attributable to the customer.

8. Your Responsibilities

By placing an order with Deedly, you warrant and represent that:


  • You are at least 16 (sixteen) years of age (or, in the case of child applications, you hold parental responsibility for a child under the age of 16 (sixteen))
  • All information you provide is true, accurate, and complete in all material respects
  • In the case of child applications, you have obtained written consent from all persons with parental responsibility for the child
  • You understand the proper method of executing (signing and witnessing) a deed poll
  • You are not choosing a name for fraudulent, illegal, or frivolous purposes
  • You are legally entitled to change your name under the laws of the United Kingdom

9. Limitation of Liability

9.1. Extent of liability

To the fullest extent permitted by law, our total liability to you in respect of any claim arising from your use of our service or website shall not exceed the amount of the purchase price paid by you.


9.2. Exclusions

We shall not be liable for:

  • Delays or failures caused by Royal Mail or other third-party service providers
  • Your failure to execute your deed poll in accordance with our instructions
  • Refusal of your deed poll in circumstances covered by the exceptions set out in Section 4.3
  • Any indirect, consequential, special, or incidental losses or damages (including but not limited to loss of time, inconvenience, or expenses incurred)


9.3. Statutory rights

Nothing in these Terms and Conditions shall exclude or limit your statutory rights as a consumer under applicable law.

10. Force Majeure

We shall not be held liable for any failure or delay in the performance of our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to:


  • Acts of God, natural disasters, or severe weather conditions
  • Industrial action, strikes, or labour disputes
  • Failure of public or private telecommunications networks
  • Government restrictions, regulations, or intervention
  • Pandemics, epidemics, or public health emergencies

11. Use of Our Website

11.1. Accuracy of information

Whilst we endeavour to ensure that all information contained on our website is accurate and current, we cannot guarantee its completeness, accuracy, or suitability for any particular purpose.


The website and its contents are provided on an "as is" basis without warranties of any kind, whether express or implied.


11.2. Technical issues

We do not warrant that our website will be available at all times or that it will be free from errors, viruses, or other harmful components.



Your use of this website is undertaken entirely at your own risk. We recommend the use of appropriate anti-virus software.


11.3. Maintenance and availability

We reserve the right to temporarily suspend access to our website for the purposes of maintenance, repairs, or improvements. We will endeavour to restore service with all reasonable expedition.

Our website may contain hyperlinks to third-party websites. We accept no responsibility for the content, accuracy, or privacy practices of such external websites.
